Terms of Service

Preflight Ops is a web-based platform that helps delivery consultants and project managers analyze planning documents — statements of work, proposals, project briefs — to identify risks, scope gaps, and readiness issues before work begins. The Services include AI-powered analysis, issue tracking, gate management, and related features.

The Services are intended for professional use. They are not intended for personal, family, or household purposes.

You must be at least 18 years old to use the Services. You must create an account to access them. You may register with an email and password or via Google OAuth.

You are responsible for keeping your credentials secure and for all activity under your account. Notify us immediately at help@preflightops.com if you suspect unauthorized access.

Accounts are personal — you may not share credentials or create multiple accounts to circumvent limits.

Each user account is entitled to one free trial. When you register and create your first workspace, it is automatically enrolled in a free trial. No credit card is required.

The trial period is 14 days (or as described on our pricing page at the time of registration). During the trial, you have full access to all Pro plan features.

After the trial ends, if no paid subscription is active: you retain read access to all your data, but write access and AI features are suspended until you subscribe. Your data is not deleted.

The free trial is available once per user. Creating additional accounts to access more trials is prohibited.

Full access beyond the free trial requires a paid subscription. Plans and pricing are on our pricing page. We may update pricing with reasonable notice before changes affect your existing subscription.

Subscriptions are billed in advance on a recurring basis. Payment is processed by Stripe. Cancellation takes effect at the end of the current billing period — we do not refund partial periods except where required by law.

If a payment fails, we may suspend write access until it is resolved.

You retain all ownership of the documents and data you upload ("Your Content"). We do not acquire any ownership rights.

By uploading content, you grant us a limited license to store, process, and transmit it solely to provide the Services. You represent that you have the rights necessary to upload it and that it does not violate any law or third-party rights.

No training. We do not use Your Content to train AI models. Our agreements with Anthropic (our current AI provider) prohibit them from using your inputs or outputs for model training.

AI-powered outputs — risk assessments, gap analyses, scope summaries — are informational only. They do not constitute professional advice and should not replace your professional judgment.

We do not guarantee the accuracy or completeness of AI-generated content. You are responsible for reviewing all outputs and any decisions you make based on them.

You may not use AI features to generate false or misleading content, attempt to extract other users' data, probe or attack the underlying models, or violate our AI providers' terms.

You agree not to:

• Use the Services in violation of any applicable law
• Upload content that infringes intellectual property rights or violates third-party rights
• Attempt unauthorized access to the Services or other users' accounts
• Reverse engineer or decompile any part of the Services
• Scrape or use automated means to extract data without written permission
• Use the Services to develop a competing product
• Resell or sublicense access without prior written consent
• Interfere with the integrity or performance of the Services

We reserve the right to suspend or terminate accounts that violate these restrictions.

The Services — software, platform, algorithms, design, trademarks, and all content we create — are owned by Refactor Ops, LLC or our licensors. These Terms grant you a limited, non-exclusive, non-transferable license to access the Services for your internal business purposes during your subscription.

If you provide feedback or suggestions, we may use them without restriction or compensation.

We treat Your Content as confidential. We will not disclose it to third parties except to our service providers who process it on our behalf, as required by law, or with your explicit consent.

The Services integrate with Google (authentication), Stripe (payments), and Anthropic (AI analysis). Your use of those services is governed by their respective terms. We are not responsible for third-party practices.

You may cancel your account at any time through account settings or by contacting us. We may suspend or terminate your access if you breach these Terms, if required by law, or if we discontinue the Services.

Following termination, you will have read access to your data for at least 30 days to export it, after which it may be deleted. Sections 5, 8, 9, 12, 13, 14, and 16 survive termination.

The Services are provided "as is" and "as available," without warranty of any kind. We disclaim all warranties, express or implied, including merchantability and fitness for a particular purpose. We do not guarantee uninterrupted availability. AI outputs are provided for informational purposes only — we make no warranty as to their accuracy or completeness.

To the fullest extent permitted by law, we are not liable for indirect, incidental, special, consequential, or punitive damages. Our total liability for any claim is limited to the greater of the fees you paid in the preceding 12 months or $100 USD.

You agree to indemnify and hold harmless Refactor Ops, LLC from claims arising out of your use of the Services in violation of these Terms, Your Content, or your violation of any applicable law.

We may update these Terms. For material changes, we will notify you by email or in-app notice at least 14 days before the changes take effect. Continued use after the effective date constitutes acceptance.

These Terms are governed by the laws of the State of Missouri. Disputes will be subject to the exclusive jurisdiction of state and federal courts in Missouri. Before filing a formal claim, please contact us at help@preflightops.com to attempt informal resolution.

These Terms, together with our Privacy Policy and Cookie Policy, constitute the entire agreement between you and us. If any provision is unenforceable, the remainder stays in effect. You may not assign your rights without our written consent.
